Design the workflow after the conversation ends.

Define the purpose of the conversation.
Specify which requests the system should handle and what information it needs to do so. A booking call, a support question and a request for a quote create different records and need different checks.
Make the boundary understandable to the caller. Decide how the conversation moves to a person when the request is unclear, sensitive or outside the agreed scope.
Connect the conversation to a record.
Agree which details are stored, where they belong and who can review them. A transcript alone may not be enough to help the next person act. The business may need a contact, a booking request or a clearly assigned follow-up.
Avoid treating a spoken intention as a completed action. Confirmation should reflect the result returned by the relevant system, including when it fails or needs further review.
Review the exceptions.
Test misunderstandings, corrections and interrupted calls alongside successful examples. Include callers who change their mind or provide incomplete details. Keep a clear route for human follow-up.
Measure the completed business task and the quality of the handoff. A short call is useful only if the caller and the business have a shared understanding of what happens next.
Put the brief into practice.
