Keep facts connected across departments.

Separate the role from the facts.
Marketing, sales, calls and support approach the business from different directions. Their instructions can differ, while the underlying product information, customer records and approved policies need to stay consistent.
Keep stable business facts in a maintained source rather than copying them into every prompt. Record ownership and the point at which a fact was last checked.
Make the handoff explicit.
Describe what one role passes to the next: the relevant record, the requested action and any uncertainty that remains. A useful handoff lets the receiving role continue without reconstructing the whole conversation.
The boundary should also describe permissions. Knowing that a customer requested a refund is different from being authorized to issue one. Assign review and escalation to the appropriate person.
Keep changes reviewable.
People need to see the proposed change and understand which records it affects. For bulk operations, show the selection criteria, the number of affected records and a meaningful sample before execution.
Review corrections as well as successes. A system becomes easier to operate when the business can identify a mistake, understand its scope and decide what should happen next.
Put the brief into practice.
